Okay, so I’ve been planning this big trip, hitting up a few different countries. Sounds fun, right? But oh boy, the planning part? Total headache. I started out all gung-ho, thinking, “I got this!” Then reality hit. Different time zones, currencies, visas… my brain was fried. So, I needed a system, and fast.

The Old-School (Failing) Method
First, I tried the good ol’ pen-and-paper method. I had this notebook, you know, the kind with the pretty cover, thinking it would inspire me. I started scribbling down flight ideas, hotel names, potential activities… It quickly turned into a chaotic mess. Crossing things out, adding arrows, sticky notes everywhere. It looked like a toddler had attacked it with crayons. I couldn’t make heads or tails of it after a day.
Spreadsheet Struggles
Next, I thought, “Okay, let’s get digital.” I fired up a spreadsheet. I felt all organized for about five minutes. I made columns for dates, cities, flights, accommodation, activities, costs… the works. It looked impressive, all neat and tidy. But then I had to start inputting the actual information. And updating it. And comparing options. It became this massive, unwieldy thing. Scrolling, scrolling, scrolling… and constantly switching between tabs to check different websites. My eyes started to glaze over.
The “Aha!” Moment
I was about ready to throw in the towel and just book a package tour (which, let’s be honest, isn’t really my style). Then, a friend told me about a couple of tools, and it’s been a game changer.
Tool 1: Trip Planning App.
There are a bunch of these out there. Basically, It’s like a one-stop shop for your entire trip. You put in your destinations, dates, and it helps you build an itinerary.
What I did:

- Created a new trip. Gave it a cool name (because, why not?).
- Added my destinations. The main countries and cities.
- Started playing with dates. It’s got this visual calendar thing, so you can easily see how many days you’re spending in each place.
Tool 2: Collaborative Document
Because i am use to note every detail,so I choose the collaborative document.
I am loving this tool,What I do is below:
- Researched Flights and Accommodation.
Use some websites and Just dumped all the options into the document.
- Made notes. Pros and cons of each option, links to reviews, everything.
- Compared and decided. Once I had all the info in one place, I could choose what I wanted.
- Booked everything. Flight and accomodation.

Bringing It All Together
Once I had the basics (flights, hotels) booked, I went back to the Trip Planning App and filled in the details.
The result is a Itinerary organization:
- Day-by-day breakdown. I can see exactly what I’m doing each day.
- Confirmation numbers. All in one place.
- Addresses. Super helpful for when I’m actually there.
- Notes. I added things like restaurant recommendations, opening hours, etc.
Seriously, these tools saved my sanity. I’m still adding to it, researching activities and things, but the bulk of the planning is done. And it’s actually organized! I can’t even tell you how much better I feel. Now, I can actually get excited about the trip itself, instead of dreading the planning process.
